HOSPITALITY MINISTRY - DUTIES OF CORE TEAM MEMBERS

COORDINATORS

l. Prepare Agenda - One meeting a month before the General Meeting be in touch with Ministry needs to insure agenda is planned to maximum benefit of the Ministry.

2. Preside at General Meetings - call meeting to order and guide members through the agenda, (there are four meetings a year). Set up meeting schedule for up-coming year, and reserve space to hold the meetings, which is done in May or June.

3. Schedule needs of the parish at Sunday & Holy Day Liturgies. Be in contact with each Mass to see if all are covered and communicate any last minute instructions. Produce a sign-up sheet for Holy Days and Special Liturgies.

4. Maintain Hospitality Ministry Name and Address Roster - Encourage communication from members to keep an up-to-date-Roster, (relocate, or move away). Issue a new Hospitality Ministry Roster in alphabetical order, and a by-Mass Roster, at least once a year.

5. Recruit and Train New Members - Promote an awareness and technique for recruitment out reach. Prepare new packets for new people, meet with them to go over packet material, concentrating on sign-up sheet. Advise the regular members of the new recruits and encourage them to introduce themselves to those new recruits who are just starting.

6. Attend Liturgy Committee Meetings - There are four meetings a year to cover pertinent information with the Liturgy Committee, who will cover the same information with the Hospitality Ministry. Implement any policy changes and follow-up on how people are doing with the changes that are made.

ENCOURAGE AND DEVELOP OUR CONCEPT OF HOSPITALITY

ASSISTANT COORDINATOR

1. Help prepare Agenda- One meeting a month before the General Meeting. Help Coordinator to discern what the subject matter for the agenda will be.

2. Preside over the General Meeting in the absence of the Coordinator. Call the meeting to order and guide member through the agenda to be discussed at the meeting.

3. Be available when necessary.

4. Help give orientation to new members, (See Coordinator Section).

5. Schedule - Assist Coordinator with schedule and make contact with all Masses to be sure all are covered. (Maybe only once or twice a year if needed.)

6. Last minute information - To communicate with the General Membership any last minute information (maybe only once or twice a year). * Liturgy planning is in advance and last minute changes are infrequent.

7. Roster Up-dates - To help issue roster updates once a year.

8. Attend Liturgy Committee meetings if the Coordinator is unable to attend. Liturgy meeting are approximately four times a year. The meetings are to go over any pertinent information between the Hospitality Ministry and the Liturgy Committee and visa versa.

MEMBER - AT LARGE

1. Be prepared to help the Coordinator and/or Assistant Coordinator as needs arise in the areas covered above, such as the Agenda, General Meetings, and Communicating with the General Membership, etc.

SECRETARY

1. Be prepared to take the notes and the minutes of the meetings to maintain proper and accurate records. Some additional telephone calls may be required and some postal requirement.
